Getting started
From the first login to a field team at work: the setup, in order.
Setting up follows an order: each step builds on the previous one. Allow half a day for a mid-sized team, most of it spent preparing your files.
1. The Admin's first login
The Admin logs in, replaces the temporary password (from their profile menu), then checks the organisation's profile: name, logo, colour, time zone. The logo and colour also dress the public pages you will share (forms, registrations).
2. Appoint the MaDa
In a small organisation, the Admin often maintains the referentials themselves. Otherwise, they create the level-1 position (Master Data) and appoint the person who will take it on. The Admin can restrict the modules a MaDa opens; without restriction, the MaDa can access everything the organisation subscribes to.
3. The referentials
Before importing contacts, describe your field:
- Territories — the tree of your regions and areas. Each holder can be set later, once users exist.
- Institution types, classes and ranks — your own categories of establishments.
- Contact ranks — and, for each, its visit frequency.
- Positions — your org chart.
4. The users
Create your users one by one, or import them by CSV, with their position and manager. The platform sends no invitation: for an account created on screen, you set a temporary password and pass it on; an imported account has no password, and the person chooses one with "Forgot password" on the login page, using their email. The reporting line matters: it designates the reviewer of each plan and each absence.
Then set the holder of each territory.
5. The data
Import by CSV, in this order: institutions (with their territory), then contacts (with their institution). An import is checked before being applied; a malformed file is refused without writing anything.
6. The first cycle
The MaDa sets the cycle configuration (working days, visits per day), then opens the first cycle. Each rep can then create their plan (see CONVERT).
